About Our Archiving Process

The Interactive Online Plan Manuals are broken up into topical sections called documents that have titles which begin with numbers. An example would be 01. Plan Manual.  As updates to these documents are made, a process takes place on the Interactive Online Manuals Library to update both current and archive information. The document in the current folder is replaced with the newer version of the document and is called the "current version". In the archive folder the newer version of the document is added, and given the effective date that corresponds to the manual change. The archive versions are retained for 24 months. The current versions are retained until they are replaced with a more current version.

As a result of this process, the current folder will have one and only one copy of each document section. This copy will be labelled current. The archive folder may have no copies of the document section (in the case that the document had not changed in the past two years) or many versions of the document section. The different versions reflect changes incorporated into the Manual on the effective date of the change.

An additional difference between these two folders is that while the documents in the current folder contain hyperlinks to the different parts of the manual, the documents in the archive folder do not contain hyperlinks between the different documents of the Manual.
